Tuesday 1 and Wednesday 2 September 2026, at the Royal International Convention Centre, Brisbane Showgrounds, 600 Gregory Terrace, Bowen Hills QLD 4006 — around 1.5km from the Brisbane CBD and roughly 12km from Brisbane Airport, about 15 minutes’ drive.

The main foyer directly outside Meeting Rooms 1–3, on the upper level. It’s the main thoroughfare between sessions, so you’ll see delegates throughout the day.

Exhibitors are allocated to one conference day, either Day 1 or Day 2. Your day is confirmed in your confirmation email — if you have any questions, contact Sally.

Nothing. There’s no exhibitor fee.

Around 70–80 delegates: Ingenia Holiday Park Managers, Ingenia Rental Community Managers, and the operational and corporate teams.

A 900mm x 900mm square high-top dry bar and a 2m x 2m space. No furniture hire needed.

The space fits one person comfortably. If you’re planning two, talk to Sally first.

Yes, but it must be free-standing. Nothing can be fixed to the walls — the venue doesn’t allow it. There are no Velcro-receptive walls or panels.

Stand allocations are being finalised and will be sent to you before the event.

Yes, standard power sockets are available. Bring your own power boards and extension leads — these aren’t supplied.

Yes. All electrical equipment must carry a current test tag.

Yes — Royal ICC GUEST, complimentary throughout the venue, capped at 20mb/s. It’s a shared connection, so if you’re streaming video or running live demonstrations, bring a dongle or arrange a dedicated connection with the Royal ICC well in advance.

7.15am to 8.00am on your exhibition day. Everything must be set up and aisles clear before delegates arrive from 8.00am.

Remove all excess packaging and rubbish from the foyer immediately after setting up.

Bump-out times differ on Day 1 and Day 2 — to be confirmed.

Anything left in the foyer after the venue deadline may be discarded.

Talk to Sally. Large or bulky items come in via the loading dock, and she’ll walk you through the access and timing.

Two undercover car parks in the Showgrounds precinct: the Royal ICC Car Park directly opposite the Exhibition Building on Gregory Terrace (140 bays, with direct lift access to the Royal ICC), and the King Street Car Park via Machinery Street (380 spaces across 5 levels).

Both are cashless — card payment on exit only, no pre-bookings, and no complimentary exhibitor parking. Allow extra time if other events are on at the Showgrounds.

Back right-hand corner of the venue, from the Gregory Terrace driveway entrance. Loading and unloading only — no parking.

High-visibility vests are mandatory at all times on the dock, and you’ll need to bring your own. B-Double vehicles can’t access the dock; trailers must be detached and delivered in two loads. No smoking. Your vehicle and its contents remain your responsibility while on the dock.

The exhibitor lift for bump-in and bump-out is at the back right-hand corner of the building, next to the loading dock. Guest lifts are in the central main foyer.

Yes. Request a delivery label from Sally, and let her know the courier name, expected arrival date and number of items. Pre-delivered items are stored on the loading dock for you to collect during bump-in — they won’t be placed on your stand for you.

Yes, one item per exhibitor. Sally will confirm the quantity you need to supply once final delegate numbers are known.

Digital is strongly preferred, in line with Ingenia’s sustainability commitment. Good options include a printed card with a QR code linking to your catalogue or website, a USB or tag loaded with your digital brochure, or a branded sustainable item such as a seed packet or reusable product.

If printed collateral is essential, use recycled or FSC-certified paper and keep the page count down.

To the Registration Desk at the Royal ICC by Monday 31 August 2026, the day before the conference, or as otherwise directed by Sally. It must arrive before bag-packing begins.

Label all boxes clearly with “Conference Bag Collateral — Ingenia Holiday Parks Managers Conference 2026” plus your company name.

No sharp, fragile or excessively bulky items without prior approval. Perishable items are not permitted.

Move anything for courier collection to the loading dock and label it clearly before you leave.

Yes, and it’s encouraged — it’s a good way to generate leads and create a memorable interaction. You’re welcome to run it directly from your stand.

Yes, a boardroom is available for exhibitors who need a private space for calls, meetings or work during the conference day. Let Sally know in advance and confirm your time at the Registration Desk on arrival.

Yes. The Royal ICC is wheelchair accessible on both levels, with accessible parking on the ground floor of the Royal ICC Car Park. Wheelchairs are available from the Customer Relations team.
