Which day do I exhibit?
Exhibitors are allocated to one conference day, either Day 1 or Day 2. Your day is confirmed in your confirmation email.
Where do I go when I arrive?
Follow the way-finding signage to the Ingenia Parks Managers Conference. The exhibition is in the main foyer outside Meeting Rooms 1–3, on the upper level — the main thoroughfare between sessions.
We’ll meet you on arrival and direct you to your space.
What does it cost?
Nothing. There’s no exhibitor fee.
Who will I be meeting?
Around 70–80 delegates: Ingenia Holiday Park Managers, Ingenia Rental Community Managers, and the operational and corporate teams.
Your day, hour by hour
What time should I arrive?
After 8.45am, set up and ready to meet delegates by morning tea.
When will I see delegates?
At the three breaks, when delegates come out to the foyer where all F&B is served. Both conference days run to the same schedule:
- 10.30am – 11.00amMorning tea
- 12.30pm – 1.45pmLunch
- 3.00pm – 3.30pmAfternoon tea
Can I meet delegates outside the breaks?
No. Outside the three breaks delegates are in session and at the end of the conference there are external events
When do I pack down?
You need to be packed up and out by 4.30pm.
I’ve got bulky items — what should I do?
Large or bulky items come in via the loading dock. See loading dock information in the "where do I park" section below .
Your stand
What am I given?
A 2m x 2m floor space and a tall square-top table, 900mm x 900mm. There’s no shell scheme, walls or other infrastructure to work with — it’s open floor space.
What if I don’t want the table?
We can remove it.
Can I put up a banner or signage?
Yes, and it must be free-standing and fit within your 2m x 2m space.
Power and internet
Is power available?
Yes, standard power sockets are available. Bring your own extension leads and power boards. All items must have current test tags.
Is there WiFi?
Yes — Royal ICC GUEST, complimentary throughout the venue, capped at 20mb/s. It’s a shared connection, so if you’re streaming video or running live demonstrations, bring a dongle or arrange a dedicated connection with the Royal ICC.
Food, drink and giveaways
Can I bring lollies or edible giveaways?
No open food or beverage is permitted. Anything edible you hand out must be individually wrapped and sealed.
Is refreshment provided for exhibitors?
No, exhibitor catering isn’t included. The venue is in a well-serviced area for casual and formal dining — King Street is directly across the road, and a dining guide is attached to your exhibitor email.
Getting there
Where do I park?
Two undercover car parks in the Showgrounds precinct: the Royal ICC Car Park directly opposite the Exhibition Building on Gregory Terrace, and the King Street Car Park via Machinery Street.
Where’s the loading dock?
Back right-hand corner of the venue, from the Gregory Terrace driveway entrance. Loading and unloading only — no parking.
High-visibility vests are mandatory on the dock and you’ll need to bring your own. Your vehicle and its contents remain your responsibility while on the dock.
Deliveries
Can I send material to the venue ahead of time?
Yes. Use the delivery label attached to your exhibitor email, and complete the venue notification form, also attached. The notification form goes to the venue — the email address is printed on the form.
Who do I contact about a delivery?
The venue handles deliveries directly. For any enquiries or concerns, call the number on the notification form.
What happens to my freight after the event?
Discuss with the venue and follow their instructions.
Conference bag collateral
Can I put something in the delegate conference bags?
Yes. Reply to your exhibitor email and let Sally know what you’re providing, then bring it with you and hand it over on arrival.
What sort of item works best?
Digital is strongly preferred, in line with Ingenia’s sustainability commitment. Good options include a printed card with a QR code linking to your catalogue or website, a USB or tag loaded with your digital brochure, or a branded sustainable item such as a seed packet or reusable product.
Is anything not allowed?
No sharp, fragile or excessively bulky items without prior approval. Perishable items are not permitted, and any edible item must be individually wrapped and sealed.
Insurance
Do I need to send you my public liability insurance?
As an INA Pty Ltd supplier, your public liability insurance details are already on file. Please check with your insurer that this activity is covered by your current policy, particularly if delegates will be operating equipment on your stand, and if you need to send an update, please do.
Prizes and engagement
Can I run a prize draw?
Yes, and you’re welcome to run it directly from your stand or as a major prize in the conference.
How should I present the prize?
Bring a printed voucher or certificate the winner can hold and be photographed with, including clear details of how to claim. There are no print facilities onsite, so please prepare it before you travel.
What’s the trivia competition?
There will be a trivia element to encourage delegates to visit your stand. Just come ready for it — we’ll brief you on the day.
Facilities
Is there somewhere I can take a call or do some work?
Yes. There’s a large space available if you need to take a video call or work at a desk during the day. Just let one of us know and we’ll direct you to it.
Is the venue accessible?
Yes. The Royal ICC is wheelchair accessible on both levels, with accessible parking on the ground floor of the Royal ICC Car Park.
